DEMEC 2025 will be run entirely in person.
There is no virtual attendance.

If you have NOT already done so, please register your attendance.

  • Friday 28 November:
    • Provide your slides
    • Provide any resources you wish us to add to your session page on the app
  • Monday 8 - Tuesday 9 December: 6th DEMEC conference

Amends to session content:
Changes to author listings or minor grammatical corrections to poster content can be made via Lineup Ninja until Monday 17 November, using this link.

After this date, no further changes can be made.

Session content and format

Your session must reflect the title, summary, and objectives originally submitted, as these were reviewed and scored. These details will be uploaded to the conference app.

Oral Abstract Sessions
  • Two parallel oral abstract sessions per breakout
  • Each presentation:
    • 10–12 minutes for presenting
    • 3–5 minutes for discussion
  • Timing will be strictly enforced by the chairperson.
Spotlight on Poster Oral Sessions
  • Held over lunch, one session per day
  • Each presentation:
    • 3 minutes for presenting
    • 2 minutes for discussion
  • Chairpersons will stick rigidly to the timing template.

AV and room setup

All sessions will run at full capacity.
None of the oral abstract sessions will be recorded for on-demand viewing.
Use the programme link to view your session location and capacity.

AV provided in each session space:

  • 1 x screen (or plasma screen depending on the meeting space size)
  • 1 x data projector
  • 1 x laptop
  • 1 x clicker / laser pointer (green)
  • Mics – 2 x top table, 1 x lectern
  • 1 x technician (either dedicated or roving depending on the room size)

Workshops
The layout of your meeting space will be cabaret style seating and the space will be running to full capacity.

Poster presentation info

Poster Setup

  • Posters must be printed at your own cost
  • Size: A0 (841mm x 1189mm) – Portrait orientation only
  • Material: Matte or satin finish paper (190–230gsm)
  • No fabric posters (Velcro won’t stick); no pins allowed
  • Velcro will be provided and pre-attached to boards
  • If using fabric, bring 2–3 extra-large bulldog clips

Display & Networking

  • Location: Hall 3 (1st floor)
  • Available during refreshment and lunch breaks
  • Networking session: Monday 8 December, 18:30–19:45
  • Be ready with 3–4 bullet points to highlight key messages
  • No gadgets allowed during poster sessions

Poster Removal

  • Deadline: Tuesday 9 December by 15:00
  • Posters left after this time will be removed and destroyed

Slide preparation

  • Use the generic conference slide as your first slide. You can download the slide here.
  • Slides should be in 16:9 widescreen format.
  • Keep slides visual and simple. Avoid heavy text or complex graphs.
  • Limited animation preferred (e.g., fade-ins OK, flying images discouraged)
  • Minimum font size: 12pt

Submit slides by Friday 28 November to:

File naming: Clearly indicate which session your slides relate to (e.g., Monday AM – breakout 1)

If using polling, highlight this at the start of your session. Include login details and passwords.
Consider 2–3 tester questions at the start to familiarise the audience.

On the day guidance

Arrive early to your allocated meeting space to:

  • Meet the technician
  • Orient yourself with the AV setup
  • Check your slides
  • Speaker Preview Area: Location will be confirmed in advance. You can use this space to re-check or load your slides ahead of your session

Chair person guidance

  • Keep sessions to time
  • Use a watch or clock during Q&A
  • Brief speakers in advance on timing expectations
  • Manage Q&A from both in-person attendees and the app
  • Encourage questions during presentations
  • Encourage attendees to promote social media engagement using #DEMEC2025
  • Be clear at the end of the session that the attendees can follow up with presenters after the session
